How to measure freight properly — the extreme-point rule for dimensions, practical ways to get true weight, and why accurate numbers keep quotes honest.

Three numbers decide almost everything about a freight shipment: length, width and height of the loaded unit, plus its true weight. Those numbers determine which vehicle can take the freight, how it gets loaded, what it costs, and whether the quote you receive survives contact with the truck. Measuring well takes five minutes and a tape measure — and it’s one of the highest-leverage five minutes in shipping.

Why accurate numbers pay
A freight quote is a prediction built entirely on what you declare. Declare accurately and the quoted price is the invoiced price, the vehicle that arrives is the vehicle that fits, and pickup takes minutes. Declare short — a “400-lb skid” that’s actually 900, a “standard skid” that’s 60 inches tall — and one of three things happens: the truck can’t take the freight and the run is wasted, the shipment gets re-quoted after verification, or loading becomes an improvised problem at your dock. All three cost more than measuring would have.
Carriers aren’t guessing when they ask for dimensions and weight. Vehicle payloads, tailgate ratings, floor space and load planning all run on those numbers, which is why they get verified. Measuring dimensions: the extreme-point rule
Measure the freight at its widest, longest and tallest points — not the nominal size of the pallet or the box the product came in. The rule is simple: if any part of the load sticks out, the sticking-out part is the measurement.
In practice:
- Length and width. Start from the pallet footprint — a standard North American skid is 48″ × 40″ — but if the load overhangs the deck on any side, measure to the overhang. A 48″ pallet with two inches of overhang each side is a 52″ shipment.
- Height. Floor to the tallest point, including the pallet itself. Don’t measure the product and forget the deck under it.
- Irregular freight. For machinery, fabricated items or anything non-rectangular, imagine the smallest box the item would fit inside and measure that box. Protruding handles, levers and fittings count.
- Multiple pieces. Measure each unit separately. Four skids aren’t “about the same” — they’re four sets of numbers.
Write dimensions in inches, in a consistent order (length × width × height), and note which measurement is the height. “48 × 40 × 52” means one thing on paper and nothing if nobody knows which number is vertical.
Getting the weight right
Weight is where wishful thinking creeps in, and it’s the number with the least forgiveness — vehicle payloads and tailgate capacities are hard limits, not suggestions. Options, in order of preference:
- A floor scale or pallet scale. If you ship regularly, this pays for itself in accuracy alone.
- A forklift scale attachment. Common in warehouses; weighs the skid as it’s lifted.
- Arithmetic. Unit weight from the spec sheet × quantity, plus cartons, plus dunnage, plus the pallet. Sum it honestly.
- A declared estimate. If all you have is an estimate, say so — “approximately 800 lbs, estimated” gives the carrier something to plan around.
Round up, not down. A load declared at 950 lbs that weighs 1,010 is a footnote; a load declared at 9,800 lbs that weighs 11,000 is a different vehicle entirely.
Density: why light-but-bulky freight prices by space
Freight pricing accounts for both weight and the space a shipment occupies, because a truck runs out of floor and cube as surely as it runs out of payload. A skid of foam packaging weighs little but consumes the same footprint as a skid of steel fittings — so carriers factor dimensions, not just scale weight, into rates. Keep the tools where the freight is
Accurate measuring is mostly a matter of having the tools at hand when the skid is being built, and the kit is modest:
- A steel tape measure long enough to span the load — 16 feet covers anything a pallet carries — kept at the wrap station, not in a drawer across the building.
- A way to weigh, at whatever level your volume justifies: floor scale, forklift attachment, or a printed sheet of unit weights for arithmetic.
- A measurement card taped up where freight gets staged: the extreme-point rule, the L × W × H order your team uses, and a reminder to include the pallet. One laminated card ends most inconsistency between whoever happens to be shipping that day.
If you ship the same products repeatedly, measure the standard configurations once — a full skid of product A, a half skid, the usual mixed layer pattern — and keep those figures with your shipping records. Repeat shipments then take seconds to declare accurately, and the numbers stay consistent across every quote and every bill of lading.
The mistakes that cause requotes
The same handful of measuring errors account for most surprises:
- Quoting the pallet size instead of the load size — ignoring overhang.
- Forgetting pallet height and weight — the unit ships as a unit.
- Using catalogue product weight — which excludes packaging, cartons and the skid.
- “Standard skid” as a description — heights vary wildly; a 36″ skid and a 72″ skid both sit on 48″ × 40″ decks.
- Measuring one skid and multiplying — when the skids aren’t actually identical.
- Guessing low on purpose — it doesn’t reduce the final cost; it just moves the correction to after pickup, or strands the freight when the vehicle can’t take it.

What if I have no way to weigh the shipment?
Estimate from what you know — product weights from spec sheets or supplier documents, multiplied out, plus packaging and the pallet — and tell the carrier the figure is an estimate. An honest, explained estimate beats a guess presented as fact, and the carrier can plan for verification.
Why did the carrier reweigh my freight?
