Crating vs. Palletizing: Protecting Machinery in Transit

When machinery should ship on a pallet and when it needs a crate — protection levels, handling realities, and the decision factors that settle the question.

The short answer: palletize machinery that is robust and self-contained; crate machinery that is precise, fragile at its surfaces, or irregular in shape. A bolted, blocked and wrapped pallet load protects against the most common transit forces at modest cost. A crate adds a full protective shell — and earns its extra material and labour when the machine has exposed components, calibration to protect, or a shape that won’t survive contact with the world.

Most machinery shipments in Southern Ontario fall clearly on one side of that line. Here’s how to tell which side yours is on.

What palletizing does well

Palletizing turns a machine into standard freight. Bolted through its base or blocked with lumber, banded to the deck and stretch-wrapped, a machine on a proper pallet:

  • Moves by machine, not by hands — forklift at the dock, pallet jack and tailgate at a destination without one.
  • Resists the common transit forces — braking, cornering and vibration — because the machine and deck move as one unit.
  • Stays visible. Drivers and dock staff can see what they’re handling and treat it accordingly.
  • Costs little and adds little — a pallet adds modest weight and height, which matters because dimensions and weight drive freight pricing.

The pallet must be up to the job: rated for the machine’s weight, with sound stringers and full deck boards. Machinery concentrates weight in small footprints, and a deck that’s fine under distributed cartons can fail under a point-loaded base — our guide to pallet types covers what to look for.

What palletizing doesn’t do is protect the machine’s surfaces and protrusions. Handwheels, spindles, control panels, fittings and finished faces are all exposed to whatever the trip brings.

What a crate adds

A crate is a built structure — typically a lumber or panel shell on an integral skid base — and it changes the machine’s relationship with the world in four ways:

  1. Full enclosure. Nothing touches the machine: not adjacent freight, not a strap, not weather during loading.
  2. Point-load protection. Impacts land on the crate’s frame, not on whichever component happened to be outermost.
  3. Structure for the awkward. Top-heavy, irregular or protrusion-covered machines get a stable, rectangular, handleable form with a known lifting base.
  4. Internal bracing. The machine is blocked and braced to the crate from all sides — restrained in every axis, not just held down.

The costs are real: more material, more labour, more weight, more cube, and time to build before the shipment can move. A crate is insurance, and like insurance it should be priced against what it protects.

Two of these deserve emphasis. First, the journey: a machine moving dock-to-dock on a direct run faces far fewer handling events than one passing through terminals or into storage, which genuinely lowers the protection a shipment needs — the same logic covered in our guide to shipping fragile equipment. Second, value concentration: a machine whose worth lives in one exposed leadscrew or panel crates cheap relative to the repair it prevents.

The middle ground: hybrid protection

The choice isn’t always binary. Between a bare pallet and a full crate sit intermediate options that solve specific problems at intermediate cost:

  • Pallet plus shroud. A rigid cap or corrugated shroud over a palletized machine keeps dust, weather during loading, and casual contact off the machine without full crate carpentry.
  • Skeleton crate. An open-frame crate — rails and corner posts without full sheathing — protects protrusions and gives handlers an honest structure to work around, at a fraction of a sheathed crate’s material.
  • Blanket wrap on the pallet. Moving blankets strapped over a bolted-down machine protect finishes and edges on a direct, enclosed run where handling is controlled.

Hybrids work when the risk is specific — one vulnerable face, one protruding handwheel — rather than general. If you find yourself armouring every side individually, you’ve built a bad crate; build a good one instead.

Either way: anchor it and manage the centre of gravity

Crated or palletized, the machine’s connection to its base decides how it travels. Bolt through the base holes where the machine has them; block with cleated lumber where it doesn’t; band steel to steel where banding won’t crush what it crosses. Drain fluids per the manufacturer’s transport guidance, and restrain or remove anything that moves — heads, carriages, counterweights, doors.

Then think about the centre of gravity. Machinery is often top-heavy or offset, and a load that looks stable at rest behaves differently under braking. Keep the heavy side low, centre the mass over the deck as much as the machine allows, and mark an offset centre of gravity on the packaging so forklift operators lift where the load actually balances.

Handling and loading realities

Protection planning ends at the dock unless the loading works too. Machinery weights climb quickly, so confirm before pickup day: who has the forklift, at which end, and rated for how much — the answer to who loads the truck varies by facility and needs settling in advance. Tailgates make no-dock deliveries possible, but they’re rated equipment, and a heavy machine skid can exceed a lift platform’s safe working load even when the truck could carry it — flag machinery weight explicitly when booking so the right equipment is assigned.

Frequently asked questions

Can machinery ship on a pallet without a crate?

Yes, and much of it does. Machinery that's structurally robust, self-contained and stable — motors, gearboxes, compressors, fabricated assemblies — ships well bolted or blocked to a sound pallet, banded and wrapped. Crates earn their cost when the machine has precision surfaces, protruding components or fragile externals that a pallet leaves exposed.

Does crate wood need to be heat-treated?

For international shipments, generally yes — wood packaging crossing borders is typically required to be treated and marked under the ISPM 15 standard. For domestic shipments within Canada, heat-treated wood isn't required. If the machinery might later be exported in the same crate, building to the export standard from the start avoids re-crating.

Who builds the crate — the shipper or the carrier?

The shipper arranges it. Some businesses build their own crates in-house; others use a crating shop, which measures the machine and builds around it. Carriers move the crated freight but don't typically build crates, so the crate needs to exist before pickup day.
