First: drain or secure anything that flows

Fluids are the first job because a leak in transit damages more than the machine — it contaminates other freight, makes the vehicle deck hazardous, and can turn a routine delivery into a cleanup. Before pickup day:

  • Drain what the manufacturer says to drain. Many machines have transport guidance in the manual specifying which fluids come out — hydraulic oil, coolant, fuel, lubricants — and which can remain.
  • Seal what stays. Cap or plug fill points, vents and disconnected lines. Road vibration finds every loose cap.
  • Assume tilt and vibration. A machine that never leaks sitting level in your shop is being asked a different question on a tailgate, a pallet jack and a moving truck.

If draining isn’t practical, tell the carrier — orientation and handling can sometimes be planned around a machine that must stay wet, but only if dispatch knows before the truck is loaded.

Second: immobilize everything that moves

A machine’s own moving parts are its biggest threat in transit. An arm that swings, a carriage that slides, a door that flies open — each one becomes a hammer working against the machine with every bump. Work through the machine systematically:

  • Lock or pin moving assemblies using transport locks where the machine has them; strap or block them where it doesn’t.
  • Secure doors, guards and panels with strapping or shrink wrap — latches alone aren’t transport restraints.
  • Remove and pack separately anything that protrudes and detaches easily: handles, levers, probes, fragile attachments. Bag hardware and label it.
  • Deal with counterweights and heads per the manual — some machines require them lowered, blocked or removed for transport.

Third: protect the vulnerable surfaces

With the machine static and dry, protect what a strap, a wall or a stray impact could damage: padding over machined surfaces and controls, corner protection where strapping crosses edges, film or wrap over electronics and displays. For robust industrial equipment on a direct run, wrap and padding on a pallet is often enough; for delicate or high-value machines, a full enclosure is worth the cost — the trade-offs are laid out in crating versus palletizing machinery.

Fourth: document the machine before it moves

Photograph the machine from all sides after prep and before loading — overall shots plus close-ups of existing wear, sensitive components and the securing work itself. Two minutes with a phone creates the baseline that makes any later condition question factual instead of contested. Note serial numbers, and keep the photos with the shipment record.

Mounting, paperwork and booking the right truck

Mount it to ride, not just to sit. Use a pallet or skid rated well above the machine’s weight, bolt or band the machine to the deck through its base where possible, and keep the centre of gravity low and inside the pallet footprint. The palletized unit should move as one rigid piece.

Measure and weigh the finished unit. The transport dimensions are the machine as prepped — on its pallet, with its protection. Label it and paper it. Destination, contact, and any orientation or handling marks (“this side up”, lift points). A clear label on machinery matters as much as on cartons — the same rules from how to label skids apply.

Book with the full picture. Weight, dims, and loading at both ends. A forklift at your dock but nothing at the destination means a tailgate truck must be dispatched — and note that tailgates are rated equipment, so a very heavy machine may need a dock or forklift at both ends regardless. Straight trucks carry up to roughly 10,000 lbs; beyond that, machinery moves by semi, which a regional carrier can arrange through transportation partners.
